  • information connected with a donation made through Zeffy;
  • technical information such as your IP address, browser type, device information and security logs;
  • information provided when you contact us by email, telephone or another method; and
  • information collected by embedded services such as Google Maps, Google reCAPTCHA, Facebook, Instagram or Zeffy.

Please do not include sensitive personal information in a contact form unless it is necessary for your enquiry.

How we use your information

We use personal information to:

  • receive, manage and respond to enquiries;
  • provide information about Raise Roots and its activities;
  • administer and record donations;
  • operate, secure and maintain the website;
  • prevent spam, fraud, misuse and security incidents;
  • keep appropriate financial and administrative records; and
  • meet our legal and regulatory obligations.

We do not currently use personal information collected through this website for email marketing, behavioural advertising or website analytics.

Our lawful bases

Depending on the circumstances, we process personal information because:

  • it is necessary for our legitimate interests in responding to enquiries, operating Raise Roots and protecting the website;
  • it is necessary to take steps at your request or perform an agreement with you;
  • we must comply with a legal obligation, including financial, accounting or regulatory requirements; or
  • you have given your consent, where consent is specifically requested.

Where we rely on consent, you may withdraw it at any time.

Contact forms

Our website uses Contact Form 7. When you submit a form, we receive the details you enter so that we can respond to your enquiry.

Form submissions may be transmitted to and stored within our website and email systems. Google reCAPTCHA may also process technical information to determine whether a submission is being made by a person or an automated system.

Donations through Zeffy

Donations are processed through Zeffy. When you use the Zeffy donation service, Zeffy may collect information such as your name, contact details, donation amount and payment information.

Zeffy processes payments under its own terms and privacy policy. Raise Roots may receive donor and transaction information needed to administer the donation, maintain financial records and respond to donation-related enquiries.

We do not directly receive or store your complete payment-card details.

Website hosting and security

The website is hosted using services supplied by 123 Reg. Hosting providers may process IP addresses, access logs and other technical information needed to deliver and protect the website.

The website uses an SSL certificate supplied through Let’s Encrypt to encrypt information while it is being transmitted. However, no internet service or storage system can be guaranteed to be completely secure.

Google services

We use Google reCAPTCHA to protect forms from spam and abuse, and we may embed Google Maps. Google may receive technical information such as your IP address, browser details and interactions with these services. Google may also place or access cookies.

Google processes this information in accordance with its own privacy policy and terms.

Facebook and Instagram content

Pages on this website may contain links to, or embedded content from, Facebook and Instagram. These services are operated by Meta.

Embedded social-media content may allow Meta to collect information about your visit, particularly if you interact with the content or are logged in to a Meta account. Meta’s own privacy and cookie policies apply to that processing.

Who we share information with

Where necessary, information may be shared with:

  • 123 Reg and other website or email service providers;
  • Zeffy for donations and payment processing;
  • Google for reCAPTCHA and Google Maps;
  • Meta where Facebook or Instagram content is embedded;
  • professional advisers, insurers or IT support providers;
  • banks, payment providers, accountants or auditors; and
  • public authorities, regulators or law-enforcement bodies where required by law.

We do not sell your personal information.

International transfers

Some third-party providers may process information outside the United Kingdom. Where this happens, the provider is responsible for using an appropriate legal safeguard, such as an adequacy regulation or approved contractual protections.

How long we keep information

We retain personal information only for as long as reasonably necessary:

  • general contact enquiries are normally retained for up to 24 months after the enquiry is resolved;
  • unsuccessful spam or security records may be retained for a limited period for website protection;
  • donation and financial records may be retained for up to seven years to meet accounting, tax and legal requirements; and
  • information connected with a complaint, dispute or legal matter may be kept until the matter and any applicable limitation period have ended.

Information may be deleted sooner where it is no longer required.

Your data-protection rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of your personal information;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete your information;
  • ask us to restrict how your information is used;
  • object to processing based on legitimate interests;
  • receive certain information in a portable format; and
  • withdraw consent where processing is based on consent.

These rights are not absolute and may be subject to legal exceptions.

To make a request, please use the contact form on our website. We may ask for information needed to confirm your identity. We will normally respond within one month.
